MAGELLAN VACATIONS PRIVACY POLICY FOR CUSTOMERS
While information is the cornerstone of our ability to provide superior service, our most important asset is our customers’ trust. Keeping customer information secure, and using it only as our customers would want us to, is a top priority for all of us at Magellan Vacations. Here, then, is our commitment to privacy.
WHY WE COLLECT INFORMATION AND HOW WE USE IT
We collect your personal information in order to conduct our business on your behalf as an agency. We use this information to communicate with you, make a reservation/booking, update information about the itinerary, communicate with hotels on your behalf regarding your stay, notify you of rate drops as a result of our RateCheck program, obtain feedback on services rendered by ourselves and the hotels, provide you with ongoing information about us and our services, measure and improve our websites and marketing initiatives, customize our offerings to your preferences and generally fulfill our legal and regulatory requirements. From time to time, we may survey your opinions of proposed and/or contemplated offerings.
In the event that a booking is made by you for another guest, we require that you obtain permission from them to provide us with this information as the booking will be associated with that client.
As we continue to develop and grow, we may buy or sell parts of our business. Private information we hold about you will be retained as part of such transactions for the purpose of client relationship continuity related to that business.
We may collect anonymous/non-personal information and business information or render anonymous information we have about you. Because this information cannot be associated with or traced back to you, it is not governed by this Privacy Policy.
A WORD ABOUT SHARING CUSTOMER INFORMATION AND ABOUT MARKETING LISTS
To serve our customers better and with your consent, Magellan Vacations may use third party services to send out information about our offerings. We use third party providers to manage our marketing lists (such as MailChimp), however, all list information remains under our control and only usable by Magellan Vacations. We do not share or sell our marketing lists. At any time, should you wish to be removed from our marketing lists, please write to us.
TYPES OF INFORMATION WE COLLECT
In order to book hotels through our service, we require certain personal information such as your name, your residential address, your telephone number, your email address, your credit card number and associated billing address.
In occasions where a stay is associated with a special event (such as a wedding, anniversary, birthday, party, etc.) we may collect additional information that the hotel generally requires as a Special Request Document in order to ensure that your requests are properly handled and fulfilled. The personal information so collected is retained as part of your booking information, but is not used for the purpose of marketing to you without your specific permission.
Like many other websites, we automatically collect certain non-personal information regarding website users that does not identify you. Examples include the Internet Protocol (IP) address of your computer, the IP address of your internet service provider, the date and time you access our website, the internet address of the website from which you linked directly to our website, the operating system you are using, the sections of our website you visit, the website pages read and images viewed, and the content you download from our website. Our website uses “cookies”, a technology that installs a small amount of information on a user’s computer to permit the website to recognize future visits using that computer. Cookies enhance the convenience and use of our website. You may choose to decline cookies if your browser permits, but doing so may affect your use of our website and your ability to access certain features of our website or engage in transactions through our website.
WITHHOLDING CONSENT
Subject to legal and contractual requirements, you can refuse to consent to our collection, use or disclosure of your personal information, or you may withdraw your consent to our further collection, use or disclosure of information at any time in the future by giving us reasonable notice. If you refuse or withdraw your consent, we may not be able to provide you or continue to provide you with some products, services or information, which may be of value to you.
For the purpose of room reservations, some information is required in order for us to complete the booking on your behalf. If the information is not provided, we will not be able to provide you with our service.
You may choose whether or not to provide Personally Identifiable Information to Magellan Vacations. If you choose not to provide the Personally Identifiable Information we request, you can still browse our sites, but you may be unable to access certain options, offers, and services that involve our interaction with you. If you choose to have a relationship with Magellan Vacations, we may contact you in connection with that business relationship.
LIMITING COLLECTION AND SOURCES OF INFORMATION
We will limit the collection and use of personal information to that which is necessary for the purposes we have identified to you, including without limitation, the purposes identified above, using means which are fair and lawful. Although we will collect your personal information primarily from you, we may also collect it from external sources.
SAFEGUARDING INFORMATION
We protect personal information against loss or theft, unauthorized access, disclosure, copying, use, or modification with security safeguards appropriate to the sensitivity of the information. Our safeguards vary depending on the information’s sensitivity, amount, distribution and format of the information and the method of storage. We use a variety of security technologies and procedures to help safeguard your personal information. For example, personal information which we hold electronically is on password protected computer systems with limited access that are located in controlled facilities. Paper-based files are kept in controlled facilities and access is restricted on a need to know basis. All security measures are appropriate to the sensitivity level of your information.
We will permit only authorized employees and contractors, who are trained in the proper handling of customer information, to have access to your personal information. Employees and contractors who violate our Privacy Policy will be subject to our normal disciplinary process.
We are responsible for all personal information in our control. Whenever we hire other organizations to provide support services, we will require them to conform to our privacy standards and to allow us to audit them for compliance. Although we cannot take responsibility for any theft, misuse, unauthorized disclosure, loss, alteration or destruction of data by a third party, we take reasonable precautions to prevent such unfortunate occurrences.
As part of our handling of your reservation, we share with the hotel and with our reservation system partner (Sabre Holdings Corporation) only that portion of your information that is required to complete the booking. We encourage you to read the privacy statements of these Third Party Suppliers as their policies may be materially different and we are not responsible in the event of any breach or non-compliance by such third party of their privacy policies or applicable privacy legislation.
RETENTION POLICIES
We retain personal information only as long as it is required for the reasons it was collected. The length of time personal information is retained varies depending on the purpose for which the information was collected. This period may extend beyond the end of your relationship with us but only for so long as it is legally necessary for us to have sufficient information to respond to any issue that may arise at a later date. When your information is no longer needed for the purposes it has been collected, we have procedures to destroy, delete, erase or convert it to an anonymous form.
KEEPING INFORMATION ACCURATE
We will attempt to keep customer files complete, up to date, and accurate. We will tell our customers how and where to conveniently access their account information (except when prohibited by law) and how to notify us about errors, which we will promptly correct.
